THE POSITION

The Records Management Clerk supports the Records Management Officers in the ongoing loan records digitization project The Clerk may also provide basic records administrative support to the RMOs, and may serve as a substitute Receptionist when required

DUTY STATION

Belmopan

Education & Experience

  • An Associate Degree in Business Administration or related field.
  • One to two years of experience in records management or administrative support
  • Prior experience with digitization projects is an asset.

Key Responsibilities Include:

Digitization Workflow

  1. Prepare loan files for scanning, including stripping, sorting, and organizing documents.
  2. Organize movement and storage of files used in the digitization workflow.
  3. Assist with quality control checks on scanned PDFs.
  4. Reassemble physical files post-digitization.

 Records Management Support as may be required.

  1. Retrieve and return physical files from and to cabinets
  2. Track the movement of files using the computerized File Management System.
  3. Route incoming correspondences promptly and accurately.
  4. Maintain neat and orderly filing systems, replacing damaged jackets and updating file logs.
  5. Coordinate file transfers to and from branches, ensuring proper documentation accompanies each transfer.

Administrative Duties

  • Assist with general office tasks as needed, including acting as a substitute receptionist.

Required Skills & Abilities

  • Strong attention to detail and organizational skills.
  • Familiarity with records management principles and digital archiving tools.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office and document management systems.
  • Team-oriented with excellent communication skills.
  • High ethical standards and uncompromising sense of integrity.
  • Working knowledge of Spanish.
