THE POSITION

The Administrative Assistant provides executive level administrative support to the Chief Sustainability Officer (CSO). He/she is responsible to organize the executive office and efficiently perform a diverse range of high-quality confidential administrative support duties to enhance the executive’s effectiveness. 

DUTY STATION

Headquarters, Belmopan

Education & Experience

  • An Associate’s Degree in Business Administration or related field
  • At least 3 years of experience in an administrative role supporting a Manager/Executive

Key Responsibilities Include:

Executive & Administrative Support

  • Manage the Executive Manager’s calendar and meetings
  • Draft, proofread, and coordinate reports and correspondence
  • Support the coordination of projects and events

Communication & Coordination

  • Act as the primary point of contact for matters requiring the Executive Manager’s attention
  • Communicate with the Board, government officials, stakeholders, and internal staff
  • Manage correspondence and track follow-up on decisions and action items, providing status updates

Records & Office Administration

  • Maintain confidential records and an organized records management system
  • Ensure the Executive Office is properly maintained, equipped, and compliant with health and safety requirements

Reporting & Business Continuity

  • Conduct research and prepare reports as required

Required Knowledge, Skills & Abilities

  • Superior communication skills – proficient in English Language
  • Proficiency in Spanish would be an asset
  • Excellent planning and organizational skills
  • Demonstrate a mature and professional approach and presence
  • Ability to take and transcribe minutes of meetings quickly and accurately and effectively organize meetings
  • Ability to work independently to prioritize tasks and meet deadlines
  • Awareness and working knowledge of technological tools to provide a high level of efficacy in the areas of administrative support, records management, and communications
  • Proficient in Microsoft Office Applications
  • Knowledge of the Corporation’s purpose and objectives
  • Ability to maintain a high level of confidentiality and ethical behavior
